You can choose to work with one of CovalentWorks easy to use standard formats: CSV, XML, fixed field blanks and tab delimited files are supported. The standard format implementation is a three-phase process. Let's take a look at how it works.
Phase one, setup.
First, you'll need to sign up for service and submit your setup form to customer care. A file transfer protocol FTP node will be assigned to you on CovalentWorks secure servers and EDI communication will be established with your customer. In most cases, EDI communication is established through a VAN, value-added network to your trading partners VAN. In some cases, a direct connection is established through AS2 with your customer. The setup phase usually takes one to two business days.
Phase two, mapping and testing.
A standard format template for each inbound document type like purchase orders and sales reports will be provided to you. The specific template fields that contain your customers EDI test data will be explained. You'll import the standard format files from your FTP node and test them with your system. You'll also receive a standard format template for each outbound document type like invoices and advanced ship notices. Based on your customer specific guidelines, CovalentWorks will explain the template fields that you need to fill with your data. You'll need to make sure the data is in the correct standard format provided. Next, upload the template with your data to the test node on CovalentWorks secure servers using FTP. The data you send will be checked and you'll be advised on any errors. Outbound document testing with your trading partner can't proceed until all issues are corrected. When your outbound document template passes CovalentWorks validation, testing transactions with your trading partner can begin. CovalentWorks stays in close contact with your trading partner to make sure you're alerted to any issues after they process the test data. Once your customer begins the project, CovalentWorks will proceed just about as quickly as they are responsive to this phase of testing. Keep in mind that progress will depend both on the responsiveness of you and your customer. If your trading partner requires bar code shipping labels, they'll be mapped after the appropriate outbound documents are validated. You may need to print a test barcode label and have it certified by your trading partner.
Phase 3, live production.
Once implementation is complete, your customer will move you into live production.
